GETTING STARTED IN YOUR JOB
There is a range of personal information that needs to be supplied by you in order to start your employment at UTS. Your Staff Services Officer will have given you a range of forms to complete that may include:
Please complete these forms and return them to your Staff Services Officer as soon as possible if you have not already done so. In your Welcome letter you were requested to bring originals of any qualifications to be sighted at your induction. Your qualifications will be recorded on your personal file.
You will be paid fortnightly into your nominated financial institution. You can access your pay information and personal details on NEO.
Your Staff Services Officer will arrange for you to have a staff photo identification card made. If you wish to use library or other facilities please show your Staff ID card. For security reasons, it is a good idea to keep this card with you at work.
Email Once you have your staff number you can activate your email account by clicking here. For further assistance and support with your email account, call the IT Support Centre on ext 2222.
Study Time and Financial Assistance Study time is available for support staff undertaking approved courses. Financial assistance may also be available for staff studying at UTS. Staff Services can provide further advice. Academic Staff may apply for Professional Experience Program (PEP).
Conditions of Employment Your contract of employment provided you with the option of having your conditions of employment regulated by the relevant Collective Agreement or an Australian Workplace Agreement (AWA). If you did not sign an AWA then your conditions of employment will be in accordance with the relevant Collective Agreement. There are separate agreements for the senior staff group, academic and support staff which are available from the Collective Agreements website.
At any time during your employment you can approach the University about an AWA. Further information about AWAs is available from the AWA website.

GETTING TO KNOW UTS

Library The Library provides services on three locations at City, Kuring-gai and Gore Hill campuses as well as an on-line staff service.
Staff Notices A good communication tool. Staff Notices are an online noticeboard for all staff. New messages to all staff will be emailed to you. You can also directly access staff notices here.
Using Technology at UTS The IT Support Centre can be contacted on ext 2222 for any computing or information technology queries. The Information Technology Division website provides information on IT services available to all staff and students. You should familiarise yourself with the policy on Acceptable Use of Information Technology Facilities as it governs the use of all IT facilities and services at UTS.
Staff Directory You can locate staff and their telephone extensions using the online Staff Directory . An hard copy of the internal telephone directory can be found in your work area and is updated annually.
Telephones Information on how to operate your phone can be found on the IT website.
Security You should know how to Escape from UTS in case of emergency. Dial 6 in an emergency to speak to Security staff.

IN YOUR WORKPLACE There are many ways that your supervisor will help you to settle into the workplace including introducing you to your work colleagues and arranging for you to be shown around. Your supervisor will explain the applicable conditions for your work area. Hours of work and workload The conditions that govern hours of work and workloads are set out in the Collective Agreements.
For Senior Staff Group Hours Arrangements (Clause 30). For academic staff Academic Workload (Clause 34) and refer to your Faculty Academic Workload Policy (available from your supervisor). For support staff Hours of Work (Part E) including span of hours for day workers and shift workers, arrangements applicable to overtime and on-call, start and finish times. All support staff must complete a timesheet. Probation You most likely will have been appointed to your position on a period of probation. The probationary period is an opportunity for both you and the University to ensure compatibility. During probation a decision is made about continuation of appointment.
Your supervisor will have a planning discussion with you to agree on performance expectations and support. The process will involve formal and informal reviews and development. You will receive written confirmation of your probation outcome. The collective agreements and University guidelines set out arrangements for probation. Further information is available from the probation website. HR Manual The Human Resources Manual is available online. The manual contains all the human resources policies and guidelines. Some of the important policies and guidelines you need to be familiar with are listed in the section on Your Legal and Ethical Responsibilities below.
Leave A variety of types of leave are available to cover your personal circumstances. To apply for leave, discuss the circumstances with your supervisor and apply for leave using Employee Self Service (ESS) in NEO. If you are absent due to illness or other unplanned circumstances please contact your supervisor as soon as possible. You will need to apply for leave through NEO on your return to work. Grievances UTS offers staff and students a range of options to help resolve issues at the lowest possible level. Staff are always encouraged to discuss problems with their supervisor in the first instance. If this is not appropriate then specialist Advice and Resources are also available.

YOUR LEGAL AND ETHICAL RESPONSIBILITIES There are a number of policies and guidelines that set both legal obligations and expectations for personal and professional behaviour of UTS staff. You should familiarise yourself with the following policies and guidelines. There are a range of Legal & Ethical policies and guidelines that govern your responsibilities. It is important that you make yourself familiar with them. The Code of Conduct sets out the expectations for personal and professional behaviour of UTS staff whilst on duty.
EO Online UTS is committed to creating a positive environment in which all students and staff are treated fairly and equitably. Everyone has the right to study and work in an environment free of harassment and discrimination.
EO Online is a self-paced, on-line training program for all university staff about equal opportunity. It contains real life case studies and interactive learning to give a practical understanding of your legal rights and responsibilities in a university workplace.
All staff should complete Module 1. In addition, managers and supervisors should complete Module 2.
Environmental Health and Safety is every staff member's responsibility. To ensure a safe and healthy workplace you must;
- look out for hazards,
- report them to the supervisor of the work area and help to fix hazards
- take action to avoid, eliminate or minimise risks
- follow safe work methods and use personal protective equipment as required
- seek information or advice as necessary - particularly before carrying out new or unfamiliar work
- report accidents and incidents to the supervisor of the work area
- contact Security (dial 6) to report emergencies
- dispose of any hazardous waste produced safely
- not wilfully place at risk the health, safety or well being of others

University Records provides information and procedures on the keeping and storing of UTS records in line with the records management plan. The Staff Records guidelines set out the conditions by which records are kept in relation to your appointment at UTS. If you undertake any Outside Work then you must comply with the provisions of the Outside Work policy and directives. All staff have responsibility to protect children and should be aware of the guidelines on Child Protection. If you work with children under the age of 18 years who are not uTS students, you should contact your HR Client Services Officer for information on the working with children check.
Intellectual Property Policy provides the framework by which intellectual property is managed and should be read in conjunction with the Research Commercialisation Guidelines. Staff involved in research and/or commercialisation should become familiar with these documents.

WORKING IN LABORATORIES AND WORKSHOPS If you work in a lab or workshop you must be aware of safety issues and how to dispose of hazardous waste
You will also have responsibilities regarding workshop and laboratory safety and should read the information on the EHS website.
NEXT INDUCTION STEPS When you have completed this section of the induction you can use the induction checklist online to ensure that you have the information you need.
You can then print the Induction Checklist and confirm the items with your supervisor.
When you have completed all the sections you and your supervisor will sign off the checklist and return it to the Human Resources Unit.
