The Professional Experience Program (PEP) is a period of paid release from normal duties for academic staff to further develop their professional and vocational knowledge, obtain practical experience, undertake research (including applied research) or acquire new skills and competencies.  Eligibility to apply for PEP is based on the period of service with the University and other Australian universities.  PEP is usually of 26 weeks duration.

The PEP Vice-Chancellor's Directive  outlines the provisions, eligibility criteria and conditions under which PEP is granted.  The Policy covers administrative implications including salary, travel advance and staff obligations.

Process Overview

The PEP process begins during February/March with the Dean/Director inviting applications from academic members of staff to apply for PEP to be taken in the following year. Academic staff should then follow this process:

1. Complete PEP Application form including:

  • PEP Proposal
  • Proposed Itinerary
  • Supporting statement from your Academic Supervisor

2. Complete Notification of PEP Arrangements form (3 months prior to commencement of PEP) to ensure:

  • your salary is paid fortnightly during your PEP
  • you receive your travel advance
  • workers’ compensation coverage
  • contact details are provided in case the University needs to reach you

3. Apply for any other forms of leave through Neo – Employee Self Service or for leave without pay, submit the Leave Without Pay form

4. Proceed on PEP. During this time accurate financial records must be maintained on:

  • Income earned
  • Funds received whilst on PEP
  • Funds expended on PEP related activities

5. Write PEP report

6. Submit PEP Report & Financial Statement (within 3 months of your return)

7. Present at a Faculty seminar (or similar)

Variations to PEP

The Faculty/Division needs to be notified in writing of intentions to vary PEP. This includes changes to the objectives of the proposal, dates and places or persons you are visiting or cancelling your PEP. Variations need to be endorsed by both your supervisor and the Dean/Director and a copy provided to Staff Services.

Writing and Submitting PEP Reports

PEP reports and financial statements need to be submitted to the Faculty/Division within three months of returning from PEP. Writing PEP Reports will assist you to write the report and the PEP Vice-Chancellor's Directive outlines the requirements of submitting a satisfactory report within the necessary timeframe.
